Tips, late news, and answers to common questions...
1. When creating a phone directory, try entering the following numbers in
the FlexiList report generator:
List Items... 1 & 22 (Ensures family data AND persons are included)
Sort Items... 22 & 49 (Last name then by directory sequence)
or
Sort Items... 1 & 49 (To group families together)
Filter Items. 43 (Allows you to choose the church status)
For this list, I entered "MRP" (Members, Regulars, Prospects) when FCS
asked which church status I wanted to filter.

The "*" appears for all that are NOT "Active Church Members."
2. I recommend sending the phone directory output to a file and using your
word processor to edit and print the directory. Unless you specify
otherwise using Customize Screen #1, the file created will be called
"PhoneBk.TXT" and will be located in the \FCS\REPORTS directory.
Simply edit this file just as you would any other file using your
favorite word processor. If you do not want the "*" to appear next to
non-member names, simply do a search and replace using your word
processor.
3. NEVER enter your data in all UPPER CASE. It is harder to read all
upper text and it appears to "shout" at you. FCS automatically
converts text to upper case when printing labels. The postal service
prefers upper case characters.
4. How do I get into the jobs module? Answer: You must be EDITING a
person before you can gain access to the Jobs Module. The Jobs module
is inactive while in the "ADD MODE". After you select a person to edit
and have the individual on the screen, simply press F7. Remember to
first turn the Jobs module on from Customize Screen #1.
5. When creating a FlexiList, any SORT item number selected must also be
entered in the LIST item area too. For example, if you want your list
sorted by Zip code, enter a "6" in a SORT item block AND in a LIST item
block. FCS will remind you if you forget.
6. Each time you create a FlexiList, a file called TempList.DBF is created
containing your FlexiList data. This file is a dBase III compatible
file and can be used in any way you desire. You may want to merge
print this data using your word processor or a database program such
as dBase III. You should always copy this file into another directory
before "playing" with it to avoid the possibility of erasing,
overwriting, or damaging other FCS files. NEVER edit or "play" with
other FCS system and database files. You may edit report files you
create from FCS.
7. Some have asked what the LabRecNo and PersRecNo represent in the
FlexiList browse area. These numbers identify the Family record number
and the person record number of these two respective databases. These
numbers may be removed from the screen in future versions of FCS.
8. If you delete a FAMILY, FCS will not let you undelete a person assigned
to that family. You would first need to undelete the family.
9. When creating reports and you send the output to a file, you may want
to set the left margin to 0. This may save you time once you begin
editing the file with your word processor.
10. When printing church attendance sheets, only those that have attended
at least once will be included. This also applies to the Evening and
Wednesday attendance sheets.
11. If you have a monochrome monitor, try starting FCS with the MONO
parameter. The screens may be easier to read depending upon the video
card in your system. Enter:

12. To delete all data in FCS (to start loading from scratch) enter:
DEL *.DB?
13. I strongly recommend using two printers AND two printer ports with FCS.
Use the LPT1 port and printer for normal use. Use the LPT2 port and a
dot matrix printer for printing labels. FCS will remember which
printer was used last for printing labels. This method is much better
than using a A/B switch and cheaper. You may need to purchase an extra
printer port at your local computer store for about $15.00.
14. When printing all contribution reports (Donations Summary/Detailed)
using the FlexiList generator, you need only select ONE list item
(1-22).

Sort Items...
Filter Items.
15. If you are printing donation reports and you run out of paper or have
some other problem that causes you to start the printing process over
you might say to yourself, "I don't want to reprint all these reports."
With FCS and the FlexiList browse option it is easy to ignore those you
have already printed. First recreate the FlexiList and "Browse" the
list. Press F4 on all names you do not want printed. Then begin
printing the donation reports again. Those tagged as "Not Selected"
will not print and it only takes a couple of minutes to do this.
16. A couple of people have reported that they have been unable to start
FCS due to an incorrect environment setting, even after FCS makes the
required changes. If your computer system stores the CONFIG.SYS file
on a drive other than drive C:, you will need to make the required
changes manually because FCS looks for only drive C:.
17. If you have a HP laser or compatible you can now print envelopes
using the merge print option. Add a new merge template using F7 and
add the following template information:

18. When editing church/Sunday school status (see personal data screen) you
must enter one of the codes that are listed or FCS will not let you
exit the screen. FCS validates the entry with Customize screen #2
title abbreviations. The computer appears to lockup, but in reality
it will not let you out of the field because you have entered
invalid data.
19. A "N" will be displayed on the top line of the "browse" screen if
there is a note stored for the highlighted family. A "$" will
appear on the top line of the "browse" screen if the family has con-
tributed.
20. If the text wraps when printing...Try setting left margin to a lower
number such as 0. You may simply need to change the Printer Codes
from "No Codes" to Epson or IBM as applicable.
21. On some names, such as Van Patten, FCS thinks Patten is the last name
and "swaps" it at that point. To prevent this you can enter a "."
between the Van and Patten (Van.Patten). The period won't print when
printing labels. Another solution is to enter an ASCII 255 character
between the Van and Patten. To do this position the cursor between
the Van and Patten, then hold your alt key down and enter 255 on the
numeric key pad, then release the alt key. The 255 character looks
like a space.
